I have worked for many law firms and the number one problem many of them have is implementing proper client database management systems that will hopefully in turn help their staff to input the data once where that information will auto-populate to necessary documents and legal forms. The days of typing and typing the same thing over and over are gone, at least they are supposed to be! Come on, get with the current times and technology. I still see firms using hard paper files and I must admit I do like having a paper file when going to important meetings. So going paperless may not be that easy. However, when it comes to client management intake forms, that should all be done in one place in your firm's CRM system. Not in a word document shoved in a folder on your drive. Clicking around locating folders takes time and time is money. So the better systems you have in place then you will be able to take on more clients seemlessly. Case management software helps organize cases and clients, and streamlines workflow, billing, and document management. I like My Case and Clio, However, you or your staff will have to customize it to your firms needs. It does offer document automation but you will have to upload your templates one by one and input the macro fields. This can be time consuming and in the end still may not have all the features you need. I recently came across Smokeball, I have not had a chance to use the program but I am taking a deep dive into it this week to explore this option for my client, so far it seems to be a great tool for Estate Planning and it is already built out!!! All of these platforms will help you stay productive, maintain schedules, and bill accurately. You can set up billing templates, generate bills, batch invoices, and send payment reminders. Use automation technologies to reduce repetitive tasks and free up time for revenue-driving work. Most importantly, Go paperless (as much as possible) Streamline the process of filing and processing documents to boost productivity. Improve communication and collaboration, this is HUGE! This is a major problem with many firms, one person has the information and the other doesn't or it is in the clients remote file. All of your documents should live in your CRM system, if possible, for easy accessibility. Foster a culture of continuous improvement and focus on client relationship management. Consider the client-facing view when mapping out processes.
